1. Introduction
ClientDesk Technologies (“ClientDesk,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and share information when you use our platform at clientdesk.biz.
By using ClientDesk, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
Account information — When you sign up, we collect your name, email address, business name, and password (stored in encrypted form).
Business profile information — Brand colour, logo, country, industry, team size, currency preference, and payment account templates you choose to save.
Client portal data — Information you enter about your clients, including names, email addresses, phone numbers, project details, invoices, files, messages, milestones, and sign-off documents.
Billing information — ClientDesk is currently free, so we do not collect payment or card details from you. If we introduce paid plans in the future, subscription and payment records would be handled by Paystack under their own privacy policy; we would still never store your card details.
Usage data — Pages visited, features used, and actions taken within the platform. This helps us improve the Service.
Device and technical data — IP address, browser type, and operating system, collected automatically when you use the Service.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Manage your account and, if you subscribe to a paid plan in the future, your subscription
- Send transactional emails (invoices, project updates, portal invites) on your behalf to your clients
- Send you account-related notifications and service updates
- Respond to your support requests
- Monitor and analyse usage to improve the platform
- Enforce our Terms of Service and prevent fraud
- Comply with legal obligations
We do not sell your personal data or your clients’ data to third parties. We do not read, analyse, or use the content you put into your account for any purpose beyond operating that account, and we never use it to train models. 4. Client Data
As a ClientDesk user, you may upload data about your own clients (names, emails, project details, invoices, etc.). You are the data controller of that information. We process it only on your behalf to provide the Service.
You are responsible for ensuring you have the right to share your clients’ personal information with us and that your clients are aware their data is being processed through our platform.
5. Data Sharing and Third Parties
Your data is never sold, and it is never shared with anyone for their own purposes. The only third parties involved are the infrastructure providers we use to run the Service, and they process data solely on our instructions to deliver it to you:
- Database and authentication infrastructure — Your account and portal data is stored securely on cloud servers in the EU West region.
- Email delivery — Transactional emails (portal invites, invoices, notifications) are delivered via a third-party email service.
- Hosting infrastructure — The platform is hosted on a cloud infrastructure provider.
- Website analytics — Our public marketing pages use Google Analytics to measure visits and understand how people use the site. It runs only on those pages — never inside your dashboard or your client portals.
- Payment processing — Not applicable while ClientDesk is free. Your clients’ payments go directly to you and never pass through ClientDesk. If we introduce paid plans, your subscription would be processed by Paystack under their own privacy policy, and we would not store card details.
We may also disclose your information if required to do so by law or in response to a valid legal request from a government authority.
6. Data Retention
We retain your account data for as long as your account is active or as needed to provide the Service. While ClientDesk is free, accounts are not locked or expired for billing reasons, so your data stays available to you.
If you delete your account from your settings, your data is permanently deleted from our systems within 7 days. You can cancel the deletion from your account at any point before that window ends; once it runs, nothing is retained or archived beyond it, except where retention is required by law.
You do not need to ask us to delete your data, and you do not need to wait on a support request — see Section 9.
7. Data Security
We implement industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), hashed passwords, and row-level security on our database.
However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
Portal access can be protected with a password you set. Client portal passwords are stored in encrypted form and never transmitted in plain text.

8. Cookies
We use essential cookies to maintain your session (keep you logged in) and remember your portal authentication. On our public marketing pages we also use Google Analytics, which sets analytics cookies that help us understand how visitors find and use the site. We do not use advertising cookies, and analytics is never loaded inside your account dashboard or your client portals.
You can disable cookies in your browser settings, but this may prevent some features of the Service from working correctly.
9. Your Rights
You have the right to:
- Access — Request a copy of the personal data we hold about you
- Correction — Request that we correct inaccurate or incomplete data
- Deletion — Request that we delete your personal data, subject to legal retention requirements
- Portability — Request your data in a structured, machine-readable format
- Objection — Object to certain types of data processing
You can exercise the most important of these yourself, without contacting us or waiting on anyone:
- Export — Download your full account data (portals, contacts, invoices, messages, and records) as CSV files at any time from your account settings.
- Deletion — Delete your account at any time from your account settings; your data is permanently removed within 7 days.

10. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
11. Links to Other Sites
The Service may contain links to third-party websites (such as Google Reviews or Trustpilot, if you enable those integrations). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes via email or a notice within the Service. The “Last updated” date at the top of this page reflects when the policy was last revised.
Continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
13. Governing Law
This Privacy Policy is governed by the laws of the Federal Republic of Nigeria, including the Nigeria Data Protection Regulation (NDPR).
